We Automated Lead Capture From Form to Sheet to CRM in a Weekend

The least glamorous automation in your business

Nobody writes a case study about form-to-Sheet automation, which is a shame, because it is usually the highest-return automation a small business can install. A lead comes in while you are asleep, and instead of sitting in an inbox until you open your laptop, it lands in a sheet, raises an alert, and creates a record with the source attached.

What the build actually is

  • The form. WordPress contact form or any plain HTML form. One canonical field set, so the data arrives the same way every time.
  • The glue. A webhook or a small script posts the submission into a Google Sheet. No Zapier-style monthly fee for three steps.
  • The record. The sheet row carries UTM source, page URL, timestamp and a deduplication key, so the same person submitting twice does not become two leads.
  • The alert. A Slack or WhatsApp message with the essentials, so speed-to-lead is measured in minutes rather than hours.
  • The CRM. Optionally, create the deal or contact so the pipeline starts without anyone retyping anything.

What it costs

$120–$200 for a single clean pipeline (form to sheet, deduped, with alerts). $300–$500 when it also creates CRM records and handles routing by service or budget. $200 for a CSV or Excel import into an existing database. Those are the same numbers we publish on our why fixed price beats hourly.

The part people forget: deduplication

The unglamorous failure mode is the same person submitting the form twice, or filling it in again after a page reload, and now your sheet says you have two leads. You will not notice, and your conversion rate will quietly become a lie. One canonical key per lead, decided at the start, fixes it.

What it does not do

It does not replace a CRM, and it does not qualify the lead for you. It makes sure the lead exists, once, in one place, fast. Judging the lead stays a human job, because automated lead scoring is mostly a way of being confidently wrong.
