Why WhatsApp, and why carefully
For a business in Pakistan, the Gulf, or India, WhatsApp is where customers actually are. A customer who will not fill in a web form will answer a WhatsApp message. That makes it the highest-converting channel for small businesses — and the easiest place to build something that quietly goes wrong, because the channel is informal and the expectations are higher.
What it does well
- Answering the same five questions all day. Opening hours, location, price range, what you need to bring, how to book.
- Qualifying before they reach you. Ask three questions, then route the conversation to a human with the answers already attached.
- After-hours. Most small-business messages arrive when nobody is awake. A useful answer at 11pm is worth more than a fast one at 9am.
- Writing every conversation into a Sheet or CRM so nothing lives only in one person’s phone.
What it must not do
Send bulk messages to people who never asked. That is spam, it is against the platform’s own terms, and it is the fastest way to get a number blocked — taking the business’s line with it. Automation here has to be strictly reactive: answer people who message you.
The other hard limit: it should not improvise. If a customer asks something your documents do not answer, the correct behaviour is to say so and pass it to a person. A confident wrong answer on WhatsApp is worse than no chatbot, because the customer cannot tell which one they got.
What it costs and what to maintain
A lead-response bot on one channel, trained on your own documents, writing into a Sheet, with human approval where it matters: $250–$600. The full custom assistant is $400–$900, and a retrieval knowledge base that only answers from your own content with citations is $650. All on our what an AI chatbot costs in 2026.
Budget for maintenance, because your prices and policies change and somebody has to
update the source documents. A bot answering last quarter’s price is worse than no bot.
